Welcome to www.ilsa.org (the “Site”), operated by Indiana Life Sciences Association (collectively, “ILSA,” “we,” “us,” “our”). This Privacy Policy is intended to help you understand how we collect and use the information you decide to share or provide to ILSA. This Privacy Policy sets forth our privacy practices and the possible uses of the information that we gather. This Privacy Policy applies to the Site and communications from ILSA, regardless of the medium in which it is accessed (e.g., mobile browser, computer browser, etc.).

We respect the privacy of our users and treat your personal data in the strictest confidentiality and in accordance with the legislation in force.

This privacy policy is intended to inform you, in a transparent manner, about the data we collect, the purpose for collecting it, the way we use it, and the rights you have regarding the processing of such data.

Collection and Use of Information
When you visit the Site and use any of the Services provided via the Site, we may collect information as disclosed below.

Personal Information:  We collect personal information to provide the information or services requested by an individual. “Personal information” refers to any information relating to an identified or identifiable individual who is the subject of the information. For example, when you sign up for our mailing list, you provide us with certain personal information, which may include your name, your email address, your telephone number, your address, your gender and any other personal or preference information that you provide to us.

For newsletter and group communications purposes, ILSA collects first/last names, company name, city/state, and e-mail addresses. This information may be collected through a direct request to be added to our mailing list, contact with an ILSA staff member (i.e. exchange of business cards) or through your participation in an event or program attended by, sponsored, or produced by ILSA.

ILSA uses Constant Contact to manage our communications with ILSA Members and Friends. For more information on Constant Contact’s Privacy Policy, please click here. Constant Contact allows us to track your activity related to our communications (i.e. “open rates” and message views).

You can withdraw your permission to receive our emails at any time by using the unsubscribe link found at the bottom of every email you receive from us or by contacting us directly at info@inlifesciences.org.

ILSA collects additional information from members as provided on the ILSA Membership Application Form. With three exceptions, this information is used for internal business purposes only.  The  exceptions are:

  • The company description, logo, and website link provided in the Membership Application are used to create the company entry in the on-line member directory. To view your entry, please visit org. To remove the entry or make any changes or updates, please e-mail info@inlifesciences.org.
  • Contact information provided on the Membership Application is added to the ILSA Members Mailing List in Constant Contact.
  • A listing of ILSA’s member companies is shared quarterly with the BIO Business Solutions program in order to monitor program participation and compliance. More on BIO Business Solutions.

Cookies and web beacons:  Cookies are pieces of data that a Web site transfers to a user’s hard drive for record-keeping purposes. Web beacons are transparent pixel images that are used in collecting information about website usage, e-mail response and tracking.

The Site uses cookies and Web beacons to provide enhanced functionality on the site (e.g., user ID and password prompts, and conference registration) and aggregate traffic data (e.g., what pages are the most popular). These cookies may be delivered in a first-party or third-party context. The Site may also use cookies and web beacons in association with e-mails delivered by ILSA. Our Site also captures limited information (user-agent, HTTP referrer, last URL requested by the user, client-side and server-side clickstream) about visits to our Site; we may use this information to analyze general traffic patterns and to perform routine system maintenance. You have many choices with regards to the management of cookies on your computer. All major browsers allow you to block or delete cookies from your system. This Site uses Google Analytics, a web analytics service provided by Google, Inc. (“Google”). Google Analytics uses “cookies”, which are text files placed on your computer, to help the Site analyze how users use the site. The information generated by the cookie about your use of the Site (including your IP address) will be transmitted to and stored by Google on servers in the United States. Google will use this information for the purposes of evaluating your use of the Site, compiling reports on Site activity for Site operators and providing other services relating to Site activity and internet usage. Google may also transfer this information to third parties where required to do so by law, or where such third parties process the information on Google’s behalf. Google will not associate your IP address with any other data held by Google. You may refuse the use of cookies by selecting the appropriate settings on your browser, however please note that if you do this you may not be able to use the full functionality of this Site. By using the Site, you consent to the processing of data about you by Google in the manner and for the purposes set out above.

ILSA also uses a marketing database management program that deploys a cookie when a user interacts with a marketing communication, such as a marketing email or a marketing-based landing page on our Site. This cookie collects personal information such as your name, which pages you visit on the Site, your history arriving at the Site, your purchases from ILSA and the like. We use this information to evaluate the effectiveness of our marketing campaigns. You may set your browser to block these cookies.

Payment Information:  You may choose to purchase goods or services from ILSA using a payment card. Typically, payment card information is provided directly by users, via the Site, into the PCI/DSS-compliant payment processing service to which ILSA subscribes, and ILSA does not, itself, process or store the card information. Occasionally, members or customers ask ILSA employees to, on their behalf, enter payment card information into the PCI/DSS-compliant payment processing service to which ILSA subscribes. We strongly encourage you not to submit this information by email. When ILSA employees receive payment card information from customers or members by email, fax, phone, or mail, it is entered as instructed and then deleted or destroyed.

Children Under 13:  We do not market to, and do not knowingly collect any Personal Information from or about a child under the age of 13 without the consent of the child’s parent or legal guardian. If we discover that we have inadvertently collected information from a child under 13 years of age, we will promptly take all reasonable measures to delete that data from our systems.

Links: This Site may contain links to or information about other websites that are outside our control or custody. We are not responsible for the content or privacy practices of other websites and suggest you review their privacy statements to understand how your information is used or shared by those other websites. We do not endorse or make any representations or warranties concerning, and will not in any way be liable for, any informational content, products, services, software, or other materials available on other websites, even if one or more pages of the other websites are framed within a page of our Site.

Correspondence with ILSA:  If you correspond with us by email, the postal service, or other form of communication, we may retain such correspondence and the information contained in it and use it to respond to your inquiry; to notify you of ILSA events, publications, or other services; or to keep a record of your complaint, accommodation request, and the like. As always, if you wish to have ILSA “erase” your personal information or otherwise refrain from communicating with you, please contact us at info@inlifesciences.org.

Personal information we get from third parties and public resources:  From time to time, ILSA receives personal information about individuals from third parties or public resources. This may happen if your employer signs you up for webinars or subscriptions or your activities are recognized in the public domain via event websites, brochures, or marketing materials. One of our third-party partners may also share your personal information with ILSA when you sign up for webinars or subscriptions through that partner.

Do not track: ILSA does not track its users when they cross to third party websites, does not provide targeted advertising to them, and therefore does not respond to Do Not Track (DNT) signals.

Live events and web conferences:  ILSA hosts many events throughout the year. These include in-person programing, for example, as well as live web conferences or webinars (collectively “events”). If you register for one of our events, we will collect your name and contact information, which we will store in our database(s) and use to provide you with information and services associated with the event. A separate media consent will be required as part of your participation as your likeness may also appear in event video or photographs.

If you are a presenter at one of our events, we will collect information about you including your name, employer and contact information, and photograph, and we may also collect information provided by event attendees who evaluated your performance as a presenter. We may also make and store a recording of your voice and likeness in certain instances.

We keep a record of your participation in ILSA events as an attendee or presenter. This information may be used to provide you with relevant information or to tell you about other events and publications. It may also be used to help ILSA understand your needs and interests to better tailor our products and services.

Some of our events are sponsored. ILSA may provide an attendee list to sponsors, co-sponsors and exhibitors of our events. If you do not wish to have your information included in an attendee list, you can express your preferences when you register for events or you may contact the ILSA directly at info@IHIF.org.

Use of Information Collected
We use the collected information to provides services to you, respond to requests from you, improve the Site, or send you notifications regarding new services offered by the Site. We do not share, utilize, review, access, or otherwise make use of any information submitted to, or exchanged with us except for the purposes of operating Site or as provided herein. We will not share, sell, or distribute your information with any third parties including any of our affiliated companies, officers, directors, shareholders, subsidiaries, agents, or representatives except as provided in the following circumstances:

Service Providers: We may employ third party service providers to perform functions on our behalf. They may have access to personal information needed to perform their functions, but may not use it for other purposes. We may also gather aggregated data about our members and Site visitors and disclose the results of such aggregated (but not personally identifiable) information to our partners, service providers, advertisers and/or other third parties for marketing or promotional purposes.

Legal Obligations: From time to time, we may be required to share personal information in response to a valid court order, subpoena, government investigation, or as otherwise required by law. We also reserve the right to report to law enforcement agencies any activities that we, in good faith, believe to be unlawful or related to an alleged unlawful activity.

Protection of ILSA and Others: We may release your information when we believe release is appropriate to comply with the law or any rule, regulation, government or court order; enforce or apply our Terms of Use and other agreements; or protect the rights, property, or safety of ILSA, our affiliated companies, our users, or others.

Sale or Acquisition: If we become involved in a transaction involving the sale of our assets, such as a merger or acquisition, or if ILSA is transferred to another company, we may disclose and/or transfer your information as part of the transaction. If the surviving entity is not ILSA, your information may be used pursuant to the surviving entity’s privacy policies, which may be different from this Privacy Policy.

Our Site uses interfaces with social media sites such as Facebook, LinkedIn, Twitter and others. If you choose to “like” or share information from the Site through these services, you should review the privacy policy of that service. If you are a member of a social media site, the interfaces may allow the social media site to connect your site visit to your personal data.

Transferring personal data from the EU to the US

ILSA has its headquarters in the United States. Information we collect from you or about you will be processed in the United States. ILSA collects and transfers to the U.S. personal data only: with your consent; to perform a contract with you; or to fulfill a compelling legitimate interest of ILSA in a manner that does not outweigh your rights and freedoms. ILSA endeavors to apply suitable safeguards to protect the privacy and security of your personal data and to use it only consistent with your relationship with ILSA and the practices described in this Privacy Notice.

Data subject rights

The European Union’s General Data Protection Regulation and other countries’ privacy laws provide certain rights for data subjects.

This Privacy Notice is intended to provide you with information about what personal data that ILSA collects about you and how it is used. If you have any questions, please contact us at info@IHIF.org.

If you wish to confirm that ILSA is processing your personal data, or to have access to the personal data ILSA may have about you, please contact us at info@IHIF.org.

You may also request information about: the purpose of the processing; the categories of personal data concerned; who else outside ILSA might have received the data from ILSA; what the source of the information was (if you didn’t provide it directly to ILSA); and how long it will be stored. You have a right to correct (rectify) the record of your personal data maintained by ILSA if it is inaccurate. You may request that ILSA erase that data or cease processing it, subject to certain exceptions. You may also request that ILSA cease using your data for direct marketing purposes. In many countries, you have a right to lodge a complaint with the appropriate data protection authority if you have concerns about how ILSA processes your personal data. When technically feasible, ILSA will—at your request—provide your personal data to you or transmit it directly to another controller.

Reasonable access to your personal data will be provided at no cost to you upon request made to ILSA at info@IHIF.org. If access cannot be provided within a reasonable time frame, ILSA will provide you with a date when the information will be provided. If for some reason access is denied, ILSA will provide an explanation as to why access has been denied.

Data storage and retention
Your personal data is stored by ILSA on its servers, and on the servers of the cloud-based database management services the ILSA engages, located in the United States. Security
We take reasonable precautions to protect the information that is either available from or collected by this Site. We have taken steps designed to safeguard the Site’s integrity, its telecommunications, and computing infrastructure, including but not limited to, authentication, monitoring, auditing, and encryption. Unfortunately, no data transmitted over or accessible through the Internet can be guaranteed to be completely secure. As a result, we cannot ensure or warrant that Personal Information will be completely secure from misappropriation by hackers, nefarious or criminal activities, or in the event of a failure of computer hardware, software, or a telecommunications network.

Modification
By using this Site, you agree to the terms and conditions contained in this Privacy Policy and/or any other agreement that we might have with you. If you do not agree to any of these terms and conditions, you should not use this Site or any ILSA services. You agree that any dispute over privacy or the terms contained in this Privacy Policy or any other agreement we have with you, will be governed by the laws of Indiana. You also agree to arbitrate such disputes in Indiana, and to abide by any limitation on damages contained in any agreement we may have with you.

As our organization, membership and benefits change from time to time, this Privacy Policy is expected to change as well. We reserve the right to amend the Privacy Policy at any time, for any reason, without notice to you, other than the posting of the amended Privacy Policy at this Site. We may e-mail periodic reminders of our notices and terms and conditions, but you should check our Site frequently to see the current Privacy Policy that is in effect and any changes that may have been made to it. The provisions contained herein supersede all previous notices or statements regarding our privacy practices and the terms and conditions that govern the use of this Site.
